Administrative Assistant II/Receptionist
ESSENTIAL FUNCTIONS
- Assist with incoming and outgoing calls for the Health and Wellness Center
- Meet and greet visitors to Health and Wellness, receive and route calls from extension 7279, take messages as necessary while maintaining patient confidentiality
- Assists with setup of charts for new patients and filing as neededAssist with scheduling appointments
- Checks in patients arriving for appointments
- Places follow up calls or e-mails to patients who no show for appointments
- Complete monthly survey for student satisfaction with Health and Wellness
- Complete daily survey for student satisfaction with Schreiner's Student and Accident Insurance
- Perform word processing, data entry, filing, and general clerical duties
- Prepare Excel spreadsheets for Schreiner's Student and Accident Insurance by compiling data from Admissions, the Registrar and Residence Life
- Provides general information regarding insurance requirements to students, parents
- Create student confidential health files; maintain confidential student data in Jenzabar and files
- Answer written requests, processing and retaining information in a timely manner and various request on a weekly basis
- Process and distribute internal and external mail for the department in a timely manner
- Greets people coming into the office in a professional and friendly manner
- Acts to facilitate good communication between employee, client and management through interpersonal and professional communication techniques
- Maintain supplies for office equipment and ensure that all office equipment is maintained and in good working condition at all times
- Prepare mailings to students regarding insurance and immunization requirements
- Assist with data entry of student health information utilizing Jenzabar
- Assist with ordering supplies through Jenzabar
- Oversee Meningitis com0pliance of all first-time and transfer students
- Assist Director with committee responsibilites
- Assist Director with files and office organization
- Assist with Mountaineer Days orientation, Blood Drives, and Health Fair
- Assist with other student service projects or events as needed
- Prepare purchase orders, check requests, forms, work orders, etc...
- Must maintain strict confidentiality of student health records and strict confidentiality of the office
EDUCATION, EXPERIENCE AND SKILLS
- High School graduate or equivalent
- 2 years secretarial or clerical experience
- Strong Computer skills utilizing Microsoft Word and Excel, Microsoft Publishing and Microsoft Outlook
- Familiarity and experience with general office equipment
- Employee must be able to multi-task work projects while servicing incoming call volume and patients to Health and WellnessCenter
- Strong organizational skills, interpersonal, written and communication skills
- Accuracy and attention to detail
- Must have problem solving skills
- Ability to use sound judgment, maturity and responsibility when dealing with a variety of persons in a public relations capacity and sensitivity to student needs when dealing with confidential matters
- Ability to prioritize
- Self-starter
- Must work well with others
- Familiarity and experience with general office equipment
- Ability to compose, correspondence and produce reports in a timely manner
- Customer service skills

Rate: $9.50-$10.50/hr
