Administrative Assistant III
ESSENTIAL FUNCTIONS
- Maintains highest level of confidentiality in all matters; exercises discretion and judgment in sensitive matters, keeping vice president apprised at all times;
- Maintains high level of professionalism and courtesy in all communications and relationships;
- Sets a tone for the campus by conveying Schreiner's "Learning by Heart" values in daily work;
- Answers telephones quickly and efficiently, uses proper professional telephone etiquette; screens visitors and telephone calls; relays messages accurately and promptly and displays independent judgment skills in handling certain requests;
- Maintains the vice president's calendar; coordinates and schedules all meetings and other functions as necessary;
- Works in collaboration with, and provides back-up support for, the administrative assistants to the president and provost;
- Coordinates all travel arrangements for the vice president;
- Maintains budget for office of the vice president, and submits expense reports;
- Maintains risk management-related files, communicating with insurance carriers as needed;
Prepares payments to vendors for institutional expenses; - Manages and completes projects as assigned by the vice president;
- Helps prepare materials for Board of Trustees;
- Helps prepare correspondence;
- Assists in planning, preparation, and conduct of special events;
- Maintains databases, records systems, and filing system;
- Orders and maintains office supplies
EDUCATION, EXPERIENCE AND SKILLS
- Five + years prior experience working in a professional office (i.e., law firm, accounting firm, executive office, higher education administration, etc.) required, with a Bachelor's degree preferred and some college required; knowledge of budgets and accounting procedures preferred;
- Accurate and detail-oriented;
High level of computer literacy with Microsoft Office suite of products; - Experience with multi-phone line system, calculator, copier and fax machine;
- Strong verbal, written and interpersonal skills;
- Ability to deal effectively and professionally with the public;
- Ability to perform multiple tasks in an organized manner with proper follow-through including ability to prioritize projects and meet deadlines;
- Ability to maintain high degree of confidentiality;
- Ability to work independently or with minimal supervision;
- Ability to work effectively in a team setting and collaborate with other campus offices;
- Proper use of professional telephone etiquette.
Rate: $16.00/hr (minimum)
